Verify Sales Tax Numbers

Here you will find links to the state database where you can verify a sales tax ID number given by a customer on their exemption certificate.

In many of these states, the auditors are taking a stand that there is no excuse for a vendor to take invalid information since they have a verification system available.

    Hi M! I see you are going strong on this nice site. We’re trying to consider online options for the R group again. Don’t even get me started on exemption certificates! Not only the number, but so much doesn’t get completed correctly. Wouldn’t think it would be so challenging, but most of the time, the certs are completed by someone who knows nothing about them or sales tax. – PB

    Thanks for the kind comments on my site! I’ve been really getting some great traffic lately and only wish I had more spare time to work on it. So many ideas… so little time. Isn’t that the life of sales tax folk.

  4. For those companies receiving just 2-3 certificates per week, verifying online is fine, but many companies experience a higher volume and many of the websites the states utilize are not user friendly. It is not always an easy experience verifying hundreds at a time.

    Don’t we know it. We’ve had re-do our collection of exemption certificates after taking over this task from our business units and received over 8K of them in the last year – with ongoing requests to new customers at several hundred a month. For the states that do have on-line verification, we use it. Our people and systems know the amount of characters and format the numbers must be in, but they don’t cross reference the state database.

    We’ve had many auditors use their own state’s websites to check the hundreds of certificates given in an audit, and they have thrown out those that were not valid during the time period, or have invalid numbers presented. (i.e. IL is an 8-digit number that begins with a 0-4. The auditor had to tell us that before we were aware of the online verification. We had customers giving us false numbers and were hit for tens of thousands of dollars because of it).

    If your Company verifies valid numbers in these states, please let us know that is part of your service, we’ll be glad to write something about it. Your company is, afterall, a link on our site.
